Overview

PrimeRealty Group was losing leads because their agents couldn’t respond to WhatsApp messages fast enough. I built an automation system that instantly responds, qualifies leads, and syncs everything to their CRM.

The Challenge

The agency received 200+ WhatsApp inquiries per week. Agents were manually responding to each one, often with delays of several hours. Many leads went cold before getting a response, and there was no system to track which leads were qualified.

The Solution

I built a WhatsApp Business API integration using Twilio’s WhatsApp Business Platform, with n8n handling the automation logic:

  • Instant response: Every incoming message gets an immediate acknowledgment with property details based on keywords
  • Lead qualification: A conversational flow asks about budget, location, and timeline, then scores the lead
  • CRM sync: Qualified leads are automatically created in HubSpot with all conversation history attached
  • Agent routing: High-priority leads trigger immediate Slack notifications to the right agent
  • Follow-up automation: Unresponsive leads get automated follow-up messages after 24 and 72 hours

Results

  • 100% response rate within 30 seconds
  • 3x increase in qualified leads reaching agents
  • 45% of leads fully qualified without human intervention
  • Full conversation history in the CRM
