CRM Automation Pipeline
An automated CRM pipeline that captures leads from multiple sources, scores them, and routes them to the right sales rep.
Overview
GrowthLab Agency was losing leads because their CRM was a mess — leads came in from 8 different sources and sat untouched for days. I built an automation pipeline that captures, scores, and routes every lead in real time.
The Challenge
Leads came from web forms, Facebook ads, LinkedIn, cold emails, referrals, webinars, trade shows, and phone calls. Each source had a different format, and someone had to manually enter them into HubSpot. By the time leads were in the system, many had already gone cold.
The Solution
I built a multi-source lead automation pipeline:
- Universal capture: Webhooks from all 8 lead sources feed into a single n8n workflow
- Data normalization: All leads are cleaned, deduplicated, and formatted consistently
- Lead scoring: Each lead is scored based on source, company size, engagement, and behavior
- Smart routing: High-score leads are immediately assigned to senior reps and trigger Slack notifications
- Auto-enrichment: Company data is automatically enriched using Clearbit API
- Follow-up sequences: Each lead enters an appropriate email sequence based on their score and source
Results
- 100% of leads captured and entered within 1 minute
- 3x improvement in lead-to-customer conversion rate
- Zero leads lost due to manual entry delays
