A self-hosted n8n infrastructure with 40+ automated workflows connecting CRM, email, Slack, and project management tools.
Overview
TechFlow Solutions was running everything manually — lead capture, follow-up emails, internal notifications, report generation. I deployed a self-hosted n8n instance and built 40+ workflows that now handle all of this automatically.
The Challenge
The company used HubSpot for CRM, Slack for communication, Asana for project management, and Google Workspace for email and documents. None of these talked to each other. Every lead had to be manually entered, every follow-up manually sent, every report manually compiled.
The Solution
I set up a self-hosted n8n instance on a DigitalOcean droplet with PostgreSQL for persistence and Redis for queue management. Key workflows include:
- Lead capture to CRM: Web form submissions automatically create HubSpot contacts and send a welcome email
- Slack notifications: New deals, ticket updates, and project milestones trigger Slack alerts in the right channels
- Automated reporting: Weekly performance reports compiled from multiple sources and emailed to stakeholders
- Onboarding automation: New client onboarding triggers a sequence of tasks across Asana, email, and document generation
The entire setup is monitored with Grafana dashboards showing workflow execution times, success rates, and error logs.
