Real Estate Lead Automation
An end-to-end real estate automation system that captures leads from property portals, qualifies them via WhatsApp, and syncs everything to a CRM with automated follow-up sequences.
Overview
PrimeEstate Group, a real estate agency with 15 agents, was losing leads because inquiries from property portals sat unanswered for hours. I built an automation system that captures every lead instantly, qualifies them through a WhatsApp conversation, and routes them to the right agent — all within 60 seconds.
The Challenge
The agency received leads from 6 different property portals, their website, and social media ads. Each portal had its own format and notification system. Agents were manually checking each portal, copying lead data into their CRM, and calling leads one by one. By the time they reached a lead, the prospect had often already contacted another agency.
The Solution
I built a multi-source lead automation system using n8n as the orchestration layer:
- Universal capture: Webhooks from all 6 property portals feed into a single n8n workflow that normalizes the data
- WhatsApp qualification: An automated WhatsApp conversation asks the lead about their budget, preferred location, property type, and timeline
- AI scoring: OpenAI analyzes the conversation and scores the lead from 1-100 based on intent and readiness
- Smart routing: High-score leads are instantly assigned to the best-matching agent based on expertise and availability
- CRM sync: Every lead and conversation is automatically synced to the CRM with full history
- Follow-up sequences: Automated WhatsApp and email follow-ups at 24h, 72h, and 7 days for unresponsive leads
- Property matching: The system automatically matches qualified leads with relevant properties from the agency’s database
Results
- 100% of leads captured and contacted within 60 seconds
- 4x increase in lead-to-viewing conversion rate
